The Classification report contains information about the classification of the content in your Box account. You must define filters for the Classification report before you can run it.

Classification report details

  • File format: comma-separated value (.csv) file
  • Filename format: shield_classification_run_on_YYYY-MM-DD-HH-MM-SS_Page_#.csv
  • Folder name format (each report run is placed in its own folder): Shield Classification run on YYYY-MM-DD HH-MM-SS
  • Filename and folder name time zone: the local date and time of the admin who ran the report or who set up the report schedule

Classification report data columns

This section describes the data columns that are generated in Classification reports.
Data ColumnDescription
Item NameThe name given to the file or folder.
Item IDA number the uniquely identifies the file or folder.
Item Path(Path in the Classification Report dialog box.) The path to the file or folder from the root of your Box instance.
Item Type

The type of item. Values in this field can be:

  • File
  • Folder
Item URLThe fully qualified URL of the file or folder.
Classification Name

The name of the classification applied to the file or folder.

If the file or folder does not have a classification, the field is empty.

Classification Applied Reason

The method used to apply the classification label to the file. Note that this will be empty for files without classification labels. 

Any classification not applied via Shield MIP or AutoClassification will display as manually classified. This includes files that inherited classification labels from a parent folder.

Files auto-classified before October 2025 will have an AutoClassification value. Files classified after October 2025 show more specific auto-classification policy types (e.g. Data Type AutoClassification).

Values in this field can be: 

  • Manually Applied

  • Shield MIP

  • AutoClassification
  • Data Type AutoClassification

  • File Type AutoClassification

  • AI Type AutoClassification
Item Owner Name(Owner Name in the Classification Report dialog box.) The value in the Name field in User Account Details of the owner of the item.
Item Owner Login(Owner Login in the Classification Report dialog box.) The value in the Email field in User Account Details of the owner of the item.
Item Author Name(Created by Name in the Classification Report dialog box.) The value in the Name field in User Account Details of the user who created the folder or who uploaded the file.
Item Author Login(Created by Login in the Classification Report dialog box.) The value in the Email field in User Account Details of the user who created the folder or who uploaded the file.
With External Collaborator

Whether the file or folder has any external collaborators. Values in this field are one of:

  • Yes
  • No
Shared Link URL

If the file or folder has a shared link, the value (URL) of the shared link.

If the file or folder does not have a shared link, the field is empty.

Shared Link Permissions

If the file or folder has a shared link, the shared link permission. Values in this field are one of:

  • Can view only
  • Can view and download
  • Can edit

If the file or folder does not have a shared link, the field is empty.

NoteShield’s download and print restrictions may remove download permissions for some collaborators if defined in an access policy.

Classification report filters

This section describes the filters that you can configure to run Classification reports.

Item Type

Select which items will be included in the report, from:

  • Files and Folders (default)
  • Files - The report will list files only
  • Folders - The report will list folders only
Classification Name

Select one or more of the classifications you have defined in your organization to limit the report to only files and folders with the selected classification. Select No Classification if you want the report to include files and folders that have no classification applied.

The default selection is all classification names as well as No Classification., and at least one item (classification name or No Classification) must be selected.

Owner LoginOptional. Enter one or more managed user names to limit the report to only files and folders owned by the listed user(s).
Created by LoginOptional. Enter one or more managed user email addresses to limit the report to only files or folders created by user(s) with the listed email address(es).
